Administrative Assistant Position Available Immediately (Position located in Addison, TX)

Essential Job Functions

  • Provide all administrative support to the CFO
  • Daily management of all appointments, phone calls, scheduling events, conferences, teleconferences and travel
  • Maximize time by reading, researching and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
  • Pro-actively communicate with other key personnel to help with time-sensitive projects
  • Coordinate special projects as required
  • Manage day-to-day operations of office; organizing and maintaining files and records, including but not limited to:
    • Daily postal, shipping and bank runs
    • Errands as needed (personal & professional)
    • Maintaining office supplies
    • Coordinating vendors (maintenance, cleaning, landscaping, etc)
  • Assist with accounting functions as needed utilizing Quickbooks including data entry, running reports, reconciliations
  • Other duties as needed

Knowledge, Skills, Abilities

  • Quickbooks experience required
  • Advanced Excel skills strongly desired
  • Interpersonal, organizational and time management skills
  • Ability to manage and prioritize multiple tasks in a fast-paced changing environment
  • Problem-solving, ability to work autonomously, accuracy and close attention to detail
  • Experience in handling confidential information and maintaining confidentiality of sensitive information
