EXECUTIVE PERSONAL ASSISTANT / ESTATE MANAGER 

Essential Job Functions

  • Manage complex business/social calendar including: coordinate, schedule, and confirm appointments/meetings/travel for the Family
  • Manage all domestic and international travel and all related accommodations as required
  • Liaise with personal and business associates, philanthropic contacts, and household vendors
  • Maximize time by reading, researching and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
  • Pro-actively communicate with other key personnel to help with time-sensitive projects
  • Manage organization of all personal, business and financial records as required
  • Prepare presentations and documentation for meetings and social events
  • Respond to emails, correspondence, and all incoming requests in the best interest and on behalf of executives
  • Oversee Dallas TX house and associated personal projects as required
  • Coordinate all vendors contractors, service providers, and housekeeping associated with family home
  • Shop for household items as requested by executives
  • Pick up and drop off, executives vehicles as required
  • Coordinate the cleaning and fueling of vehicles when needed
  • Pick up and drop off dry cleaning as needed
  • Proactively monitor and minimize expenditures for Estate improvements/ maintenance
  • Analyze incoming bills/invoice variances to plan and initiate corrective action as needed
  • Organize, set-up, execute, and assist with hosting special events (philanthropic and social functions) in owner's home or local establishments
  • Assist with fundraising efforts including: develop invitation lists, manage RSVP tracking, and vendor management
  • Shop for personalized gifts to either ship or hand deliver: Wedding, Baby, Birthday, Anniversary, Get Well or business associate.
  • Prepare for the extensive mailing distribution for special annual event and holiday cards
  • Manage personal, business, and philanthropic contact database
  • Retrieve incoming and ships outgoing mail and packages through USPS, FedEx, etc.
  • Personal errands as needed
  • Other duties as requested

Knowledge, Skills, Abilities

  • Valid Texas Drivers License and good driving record required
  • Dependable vehicle with legally required incusurance coverage
  • Previous experience as a C-Suite personal assistant required
  • Interpersonal, organizational, time management and leadership skills
  • Problem-solving, ability to work autonomously, accuracy and close attention to detail
  • Experience in handling confidential information and maintaining confidentiality of sensitive information
  • Ability to manage and prioritize multiple tasks in a fast-paced changing environment
  • Excellent computer skills (Microsoft Office) required
